VA Team Works to Keep Health Records Moving When Veterans See Outside Doctors

When a veteran leaves a VA facility for a specialist visit or emergency care, their medical records do not always follow automatically. That gap can mean repeated tests, delayed treatment, or providers making decisions without the full picture. The Department of Veterans Affairs is working to close that gap through VA Direct, and a dedicated team now works behind the scenes to keep the system running reliably.

What VA Direct does

Direct Secure Messaging is a standard that allows healthcare providers to send clinical documents, referrals, and patient records to one another electronically and securely, similar to encrypted email for medical information. VA Direct is the VA's version of that standard, connecting VA clinicians with community providers who treat veterans outside the VA system.

The VA Direct Partner Management Team monitors the network of non-VA providers enrolled in the system, watches for technical problems before they disrupt care, and provides ongoing support and documentation updates. Greg Downing, acting chief officer of the VA's Digital Health Office, described the team's role: "The team that oversees this tool works to monitor and maintain the network of non-VA providers so that Veterans experience fewer disruptions in their care."

Why the monitoring work matters

Before the current oversight structure was in place, many providers struggled to understand how VA Direct worked, which led to communication gaps between VA and community clinicians. Regular check-ins with providers now allow the team to catch problems early. In one case cited by VA News, early identification of an issue protected the continuity of information sharing before it could affect a veteran's care.

Yaasmeen Daud, a clinical informaticist on the VA Direct Partner Management Team, described the broader mission: "I really want to emphasize that our mission here is to continue to build on these strong partnerships with our non-VA providers that can hopefully help different healthcare systems continue to work together, cutting down extra paperwork by using Direct and making sure our Veterans get timely, well-coordinated, high-quality care."

What the report does not answer

For insurers, third-party administrators, and managed care organizations that coordinate benefits for veterans, a more reliable VA Direct network means fewer information gaps when veterans move between VA and commercial coverage. Providers who receive referrals from VA or send records back to it are the direct users of this system.

The VA News report does not address scale: how many community providers are currently enrolled, how many veterans are affected, or what the measurable impact on care coordination has been. Those figures would help outside stakeholders assess whether the program is keeping pace with the volume of veterans receiving community care. For any organization that touches veteran health benefits, confirming whether their providers are enrolled in VA Direct and whether those connections are active is a practical next step.
